Using the Hall
Anyone wishing to book the hall can do so via our email (aveburysocialcentre@gmail.com) or by calling 01672 539127. The phone links through to the Booking Secretary who can advise on availability.
Users of the hall are asked to read and retain a copy of the Terms and Conditions as set out below:
1. Booking procedure
Bookings can be requested by:

· Post – The Social Centre, High Street, Avebury,SN8 1RF
Bookings will only be accepted from responsible adults. The case of activities involving anyone under the age of 18, a responsible adult must be on the premises at all times.
Please ensure that your booking includes ample time for setting up and clearing away your activity as you may only be given access to the hall 15 minutes before and after your booking and no ‘free’ time is given.
2. Payment
A deposit of £25 may be required for ‘all day’ bookings and is refundable if the booking is cancelled up to 14 days prior to the event.
Bookings must be paid for in full 7 days before the booked date. If possible, please pay at the time of booking.
Payments should be made either by cheque or BACS. If paying by cheque please post or deliver to the Social Centre; please put the date of your booking as a reference when paying by BACS
Once your booking is confirmed the booking secretary will make access arrangements with you.
The Management Committee reserve the right to refuse a letting where they feel the action is in the interest of the Social Centre or the community
3. Licences
The Social Centre has no alcohol licence at present. If relevant, the hirer must obtain the necessary licence and provide the booking secretary with a copy (either on paper or via email) before the date of the booking. A Temporary Event Notice can be applied for via the Wiltshire Council website.
The Social Centre does not have a TV licence but does have a Music Licence.
Our Public Entertainment Licence states the maximum number of people allowed in the hall:
· 60 seated at tables (i.e. for a meal)
· 75 dancing
· 80 seated in rows (i.e. for a concert or play)
· 100 standing
In all cases the fire exits and approaches to them must be kept clear.
4. During your booking
· Please do not park on the road outside the Social Centre except for loading and unloading.
· Permits to park in the High Street car park may be available from the Booking Secretary, please enquire when booking. Permits do not entitle participants to park on the road outside the hall, please ensure anyone attending your event is aware of this. Vehicles parked in the road can restrict access for residents and emergency services.
· Wi-Fi is available – see notice board in the Hall for password
· Tea towels and table cloths are not provided – please supply your own if you need them.
· Please do not change the controls of the night storage heaters – these are set to give constant background heat.
· Please do not change the temperature control of the water heater in the kitchen.
· Electric meters are situated on the right hand side behind the stage curtains in the main hall. One is for the kitchen and one for the overhead heaters and sockets in the main hall. Both take £1 coins.
· No smoking is permitted – this includes e-cigarettes.
· The burning of candles and incense is prohibited.
· Please do not stick or pin notices to the walls or doors in the hall or to the outside walls and door of the entrance porch.
· Any posters or advertising boards on private property must be with the permission of the owner.
5. Health and Safety
· The hirer must comply with all conditions and regulations made in respect of these premises by the Fire and Local Authorities.
· Food safety (General Food Hygiene) Regulations:
o All high risk foods sold to the general public must be prepared in the kitchen at the Social Centre. Low risk foods e.g. cakes can be considered exempt from this requirement.
o Food and drink may not be served to the public unless the booking was made specifically for this purpose. The serving of refreshments is strictly regulated in our village.
o No selling of goods or serving of refreshments is permitted outside at the front of the hall.
· The kitchen floor is very slippery when wet; if anything is spilled please mop up immediately and wash the kitchen floor before you leave. A ‘Wet Floor’ sign is available as an extra precaution.
· No dogs are allowed on the premises (with the exception of Assistance Dogs) without the express permission of the Management Committee
· The Management Committee cannot take responsibility for any accidents or injuries. The First Aid kit is in the first top cupboard inside the kitchen door. Please enter details in the Accident Book.
6. Before you leave, please:
· Ensure that premises are left as you would wish to find them - clean, tidy and secure.
· The cooker, water heater, wall heaters and lights are turned off
· Tables and chairs are stacked in the area behind the stage curtains, which should then be drawn across
· Please wash and dry any crockery, cutlery and glasses used and return them to the cupboards.
· Kitchen food waste should be placed in the outside bins or taken away with you.
· There are boxes for recycling outside the side door, please help us by sorting any recyclables into them – otherwise our cleaning lady has to do it!
· Please take all your belongings – but leave ours!
Damage to property and breakages must be reported to the Booking Secretary and paid for.
